Why the associate owns their record, what that guarantees, and what it rules out.

The associate owns the record. This is the product’s central promise, not a feature toggle.

What this guarantees

  • A personal account. Associate accounts are tied to a personal email the associate controls. A practice can invite an associate, but never provisions an account on their behalf using a work address.
  • Grants, not ownership. Employer and supervisor access are scoped, time-bounded grants against the associate’s ledger — never a transfer of the underlying data.
  • Termination changes nothing. No employer action can suspend, delete, or lock an associate’s record. There is no “delete associate” operation available to a practice administrator — only “end engagement,” which leaves the associate’s own access untouched.
  • Continuous, free export. Full data export in an open format, plus regenerated official BBS forms, is available at any time with no payment gate. If a practice stops paying for its seats, the associate’s record does not become hostage to that.
  • A free personal tier, permanent. An associate’s record and export access remain available indefinitely after any practice relationship ends.

Why supervisors keep read access after an engagement ends

A supervisor who signed a weekly log did so under penalty of perjury and may be audited by the Board. When an engagement ends, the supervisor retains read-only access to the specific weeks they signed — nothing about the associate’s work elsewhere.

What a lost or held-hostage record would look like — and why it can’t

If a vendor fails, or an account is disputed, the worst outcome is an associate unable to reconstruct years of documented supervised experience. The tracker mitigates this with:

  • Personal-email accounts that don’t depend on any single employer relationship.
  • Periodic, self-contained archives pushed to the associate — a portable bundle of signed logs and forms readable without any vendor software.
  • A published wind-down commitment: if the company ever fails, every user receives a bulk export before anything is shut down.

The honest limit

The associate’s own signed artifacts are the associate’s real backup. The product supports that — it never positions itself as the only copy of your record.
