Create your account, understand the three roles, and log your first week of hours.
1. Create a personal account
Associates sign up with a personal email address, never a work email provisioned by an employer. This is deliberate: your hours are your evidence of your own labor, and an account rooted in a work email is an account your employer can seize if the relationship ends. 2. Set up your first engagement
An engagement is the pairing of you, a worksite, and a supervisor over a date range. Most associates start with one engagement; many have several running at once (for example, a paid clinic position and an unpaid practicum). For each engagement you’ll record:
- The worksite and whether it’s an exempt setting (government, school, or nonprofit/charitable) or nonexempt (private practice, professional corporation) — this drives several supervision rules.
- Your supervisor, invited by email. They get their own account and queue that spans every practice they supervise at.
- The supervision agreement (for relationships starting on or after January 1, 2022) or Responsibility Statement (earlier relationships), which must be signed within 60 days of supervision commencing.
3. Log a week
Each week, at each engagement, log:
- Direct clinical counseling hours, split by category.
- Non-clinical hours (paperwork, testing, client-centered advocacy, etc.).
- Supervision sessions received — individual, triadic, or group — with duration and modality.
The tracker checks your entries against the supervision rules as you go and flags anything that looks off — before your supervisor is asked to sign anything.
4. Request attestation
When a week is complete, your supervisor reviews it and signs. Once signed, that week is locked: any later correction becomes a visible amendment, never a silent edit. See Weekly Logging & Attestation.
5. Track your progress
Your dashboard shows total hours against every binding constraint — not just the 3,000-hour total, but the 1,750-hour direct clinical floor, the 500-hour couples/families/children floor, the 1,250-hour non-clinical ceiling, and the 104-week / 52-week minimums — and names whichever one is currently the slowest to fill, since that’s usually not the one people expect.
Practice administrators
If you’re a clinical director or admin at a practice, you’re invited by an associate or supervisor, or you set up the practice first and invite your team. You’ll see compliance status — unsigned weeks, expiring registrations, supervisee counts — across everyone engaged with your practice, without visibility into hour-level detail unless an associate explicitly grants it.
